Essentials of Good Communication System:
A communication system can only be used effectively when the message is interpreted at both sender and receiver's end correctly. The following characteristics must be taken care of to make the communication system efftective:
1. Accuracy: The accuracy of information and expression is very essential. One must be assure about the accuracy of information before communicating the message. The facts should be informed carefully and appropriately. Accuracy of expression demands that there should be no error of grammar, spelling and punctuation. One has to be careful about usage of grammar & punctuation. Before communicating, the message should be thoroughly reviewed and revised.
2. Preciseness : Preciseness is the quality of being exact, accurate and definite. The words, symbols and ideas shape our thoughts. These elements must exactly be used according to the appropriateness of a the message to be communicated. To bring preciseness in the communication system simple, familiar and exact words and phrases must be used.The language should not consist of too much of difficult words and technical Jargons.
3. Brevity : It is the quality of being brief but comprehensive in expression. One must try to give maximum information in minimum number of possible words. Long and dull discourses must be avoided in the communication. A document or conversation must be made brief and concise by avoiding wordiness and repetition. it is because lengthy document or speeches with unnecessary details create boredom to the readers or listeners. To bring brevity in the communication one must avoid exaggeration and repetition.
4. Clarity: Clarity in communication is the quality of being unambiguous and easily understood. It helps in making communication effective by making the message clear to the reader or an audience. Clarity involves both clarity of expression as well as clarity of thought. Direct language, specific words and expression can be helpful in bringing clarity in communication.
5. Objective oriented: The communication must be done in an objective and systematic manner. The discussion, analysis and interpretation of facts must be done clearly making it comprehendable to the listener.
There are five stages essential in the Process of Communication:
They are Ideation, encoding, transmission, decoding and response. The process communication begins with ideation, which refers to the formation of the idea or selection of a message to be communicated. It consist ot, what is communication and is concerned with content of the specific message to be presented. After ldeation Encoding is the next step in communication. lt is a process of changing the information into some form of logical and coded message. Transmission refers to the flow of message over the chosen channel.Transmission confirms the medium selected during the process of encoding and keeps communication channel free from any kind of interference or noise so that the message reaches to the listener without any disturbance.
Decoding in written communication refers to reading and understanding a written message while in oral communication decoding includes listening and understanding. Response in the last stage in the process of communication it is the action or reaction of the receiver to the message. It helps the sender to know that the message was received and understood.
