Telephone Handling Manners

 TELEPHONE HANDLING MANNERS:

Telephone has a great deal of power yet as a basic instrument, it is often misused. The first contact many people have with others is over the telephone. With a little tact and attention to what one says and how one says it, one can use telephone effective tool in getting and keeping co-operation, sales and goodwill.

Beyond doubt, telephone is one of the most versatile communication tool.It is more economical than other ways like distant visits. It lets one know about others and their response to what one is saying. Negotiation is easier, since  telephone helps one to respond immediately to suggestions and reform what one says or change one's mind. Telephone communication provides a powerful approach to the problem that arise in business environment.

Ineffective Telephonic Communication :

The following problems may arise in telephonic communication which make it ineffective :

1. Busy Lines: Sometimes the telephone lines of a particular route are busy. So, urgent messages cannot be conveyed at appropriate time which may lead to huge losses. 

2. Wrong Numbers :Sometimes the telephone lines connected are not the ones which one dialed which may lead to wastage of time and money. Similarly, a number of blank calls may be the result of wrong lines which can create a number of problems.

3. Facial Expressions: When one is conveying some message on the telephone, the two persons communicating cannot see each other. So, the communicator cannot judge the mood of other person through his facial expressions. So, he will not be able to modify the message accordingly and will be unable to convince the receiver.

4. Time: Jet-lag may be another problem in the way of effective telephonic Communication.The difference  between the time of two places may be such that it is uncomfortable for either of them to communicate except at weekends, but urgent message may be delayed because of this.

5. Inappropriate Communication: There is a possibility that the message conveyed by one party is received by some person like secretary of the right person, who is unable to understand the whole message. It may create a lot of problems, if the message is not properly Conveyed by the secretary to the boss at right time.

6. Unclear Lines: When the message cannot be transmitted by one person to another on the telephone due to some disturbance in the lines or due to the reason that voices are heard with some cuts, telephonic communication cannot  effective.

7. Lengthy Messages : Urgent messages, if sometimes lengthy, cannot be effectively communicated on telephone because it is costly as well as boring to communicate lengthy message through telephone.

 8. Misunderstanding : Sometimes communication through telephone may create misunderstanding when the receiver, if not interested or in an angry mood, puts down the receiver of the phone listening to only a part of the message.

9. No Permanent Record: There is no permanent record of the message communicated on telephone unless taped.
